COUNTRYFIT TERMS & CONDITIONS
Your Privacy:
CountryFit respects your privacy. Due to the nature of our services, it is necessary to collect certain personal information from Clients. All information collected is treated as STRICTLY CONFIDENTIAL, and CountryFit will not share or redistribute your information with any third party except as necessary to provide services purchased by the Client, or as required by law. Any information gathered from a client is simply for our records and, if applicable, necessary to provide the services to the Client for which we have been contracted.
Booking Classes / Appointments & Cancellation Policy:
Booking Online:
All bookings and payment is made online through SquareSpace &TeamUp: scheduling, dealing with all credit card/debit transactions.
No booking is confirmed until you receive a confirmation email/payment is made. Any problems booking or unsure if you are in the class, please contact sinead@countryfit.co.uk.
Classes are not guaranteed with any membership / class pass block booking and you will still need to book your slot via the website to secure your spot. No refund will be given if classes are cancelled or fully booked that you had wished to attend.
Cancellation:
Members cancelling their session within 24hrs prior to the class will not be eligible for a refund, nor will they be able to cancel or rearrange and they will be charged full price. If the client has good reason for cancelling they can email sinead@countryfit.co.uk or text 07770 296936 to explain their reasoning and at Sinead's discretion, will be able to credit their account, but this is only in exceptional circumstances.
Your Health
Please be aware that you are choosing to exercise at your own risk. Be aware of your surroundings and exercise as safely as you can. We ask and encourage if you are injured, have undergone/taking any new medical treatment or medications or have become injured that you let the instructor know before your session.
We accept no responsibility whether seen as through negligence or not, for any injury/illness/ damage/death to you, your child/child you are acting as responsible adult for, your dog or property whilst at any CountryFit training/class/appointment or associated event.
Form Signing:
Your Health Form/Physical Activity Readiness Questionnaire (PAR-Q)/ Health History Questionnaire is required prior to partaking in any class/training at CountryFit. All clients will be required to sign this form electronically online, or by hand at the venue and return to CountryFit/ the class instructor prior to beginning any of any classes/training.
This is your responsibility, and we ask every starting participant to do this. This can be filled in electronically via TeamUp or ask for a copy to be sent via email, and either filled in online or bringing a hard copy with you to your first class. Some copies may be available at CountryFit, however this cannot be guaranteed unless previously arranged with myself, Sinead.
For anyone signing the form that has any medical/known health condition, injury or illness are required to alert their class instructor BEFORE the start of the class. It is up to you to keep on top of your medical / health records and inform your instructor of any changes.
Failure to provide a signed copy of the above will result in you not being able to partake in the class/training and it is your responsibility to ensure this is done. No refunds will be given for anyone not being able to partake for this reason.
Medical clearance:
Anyone signing the form and advised they require medical clearance before participation, will also be disallowed to partake unless said medical note is provided. No refunds will be given for anyone not being able to partake for this reason.
It is recommended that you remind the instructor of any known medical condition/ injury, illness or anything they need to know at the start of each class, as especially in the large groups it is difficult to keep up with everyone's records, and letting the instructor know will help ensure your class runs smoothly and safely.
If you have any of the following physical conditions, you may be required to have a Medical Clearance and Physician’s Consent Form:
Hypertension (>145/95 mm Hg)
Heart Conditions
Hyperlipidemia (cholesterol >220 mg/dl or a total cholesterol-to-HDL ratio of >5.0)
Diabetes
Family history of heart disease prior to age 60
Smoking
Abnormal resting EKG
Or any other condition that CountryFit in its sole discretion may deem to present an unreasonable risk to your health, were you to participate in a fitness evaluation or program.
(This is not an extensive and there may be other health conditions where you require medical clearance- we strongly advise you to contact your GP before beginning any training with us)
Updating records:
As a member you may be asked to repeat this from time to time to keep our records up to date. However, it is your responsibility to let an instructor know with any changes to your health and that they are updated accordingly
Rates, Memberships & Class Passes:
Rates:
Rates for CountryFit services are subject to change at any time. All payment is taken prior to the session through our online booking team up , Stripe payemnts. Pay as you go class pass & membership options are available (further details of their privacy policy / terms and conditions can be found on their website. No payment can be taken on site at CountryFit, unless previously agreed.
Memberships:
Memberships renew automatically unless cancelled. It is your responsibility to cancel/change your membership should you need to do so. You will be reminded of your upcoming membership 7 days before the renewal via email, so please ensure your email address given at the time of booking is correct and up to date. It is your responsibility to inform us of any changes. Please also ensure you add us & team up to your address book to stop the emails hitting the spam/junk folder.
If you are sustain an injury / illness/ other reason meaning you can not attend for a period of time, it is up to you to pause/cancel your membership. No refund can be given on membership already paid.
Class Passes:
You have x months from the date of purchase to use your booking (stated on sign up). No refunds will be given for class passes not used in the given time, even if classes have been cancelled/changed by anyone at CountryFit. Cancelled/changed classes by CountryFit will always be given back the class credit but it is not CountryFit’s fault or responsibility if you cannot make the alternative times/dates.
Sessions/Appointment Timings:
a.Session schedule
Session schedule duration & timing is all stated on the website/booking website. In order to provide the best service to all Clients, CountryFit cannot commit to extending any particular session beyond its previously scheduled time. Classes may sometimes over/underrun, due to varying factors.
The session schedule, timing & duration is subject to change at any time. All updates will go via the website and it is your responsibility to check. Any change to a session you have booked will be sent to your email address you booked with, so please make sure this is up to date and correct, and ensure you have us saved in your address book so it doesn’t fall into your spam/junk folder.
b. Your responsibility
If you have a tight schedule, it is up to you to ensure that you leave the class on time, and any missed appointments/charges you incur as a result of your CountryFit appointment overrunning is your responsibility. We will accept no liability for costs you may incur.
In order to provide the best possible service to all Clients, CountryFit asks that all Clients be ready to begin their session at the scheduled time. Time lost at the beginning of a session due to a client’s lateness cannot be made up at the end of the session as that could potentially impact the next scheduled clients/ class
For clients missing the warm up, we reserve the right to send away without refund for the session. However if the client is prepared to do their own warm up and accepts the risk of injury/safety of missing out of the group warm up and or class instructions / safety briefing, at the instructor's discretion clients will be allowed to participate.
Our responsibility
If a session should finish earlier than half the allocated time for the class, you will be entitled to a full refund/class credit.
If I, Sinead, or any class instructor at CountryFit should need to change/cancel a session, we are subject to do so at any time. You will be given a class credit (class pass members) or a refund for pay as you go members. Monthly membership holders will not be entitled to any refund. ‘Lite’ members may be given more class credits per week, but this is subject to review by myself, Sinead.
Travel
Car:
If travelling by car to CountryFit we have plenty of parking available. It is on grass, which we do our best to maintain, however we accept no responsibility for cars stuck or damaged whilst on our property.
If you were to get stuck we may offer our help, but will accept no responsibility for any damage caused to person, car or possession.
It is your responsibility to check road conditions, closures and traffic conditions. It is your responsibility to ensure that you arrive in plenty of time for your class. See notes on late attendance (section 5b)
I recommend reading over the instructions given to you upon booking confirmation. And/or checking the information on the website/google to how to find us. If you are unsure please contact sinead@countryfit.co.uk or call 07770 296936. Please note in contacting 10 minutes before, or during the session your calls / emails will not be answered.
Cars and items inside are left totally at the owners risk, we do not accept any responsibility to damage/loss to vehicle, object or possession whilst travelling to/from CountryFit or on the grounds, on the land associated with CountryFit/ the land owners.
Public transport:
There are no direct links for public transport
By foot:
If you are getting dropped off, we would strongly advise getting dropped inside the gate as it is off a single track road and you would be obstructing the road, and by doing so putting yourself/others in danger.
If choosing to walk, we strongly recommend a high vis at all times and be vigilant to traffic, as there are blind bends and cars are known for not respecting the speed limit.
How you travel to/from CountryFit is your decision & your responsibility, we will accept no responsibility for any damage, injury or death you, your belongings or others may sustain as a result of your travel.
Your Training:
Your safety:
Your safety and enjoyment is our main objective. Clients have the right to terminate a particular exercise or workout at any time. You are in control of your workouts! If an exercise is uncomfortable or painful, or if you want to stop for any reason, you are to do so.. If a particular exercise is painful for you to do or you have an injury or other limitation that makes it difficult for you to do, CountryFit can attempt to substitute another exercise to work that muscle group, and it is your responsibility to let the class instructor know.
Results:
You will get from your workouts what you put in. Results will vary by individual and CountryFit cannot guarantee specific results. Client acknowledges that Client is responsible for their decisions regarding whether to exercise consistently, eat properly, rest enough, and live a healthy lifestyle.
Photos/Videos:
In order to help us reach a wider audience, we may take photos or videos of the sessions and share across social media and our website. If you would prefer us not to take your photo please let your class instructor know before starting each training session.
Age Limit:
The age limit for participants without a parent/guardian is 16 and above.We hold specific family training sessions, where under 16 year olds may train as long as they are accompanied by a parent or guardian. Parents or Guardians are responsible for their children at all times. Parents / Guardians will also be asked to fill in a Parental / Guardian Health form.
Under 16s are allowed into all sessions, but this must be booked by contacting sinead@countryfit.co.uk. Due to the nature of some of the exercises we may from time to time ask the person under the age of 16 not to join in an exercise, purely safety precaution. It is the parent and/or guardians responsibility to ensure their child/child in their care adheres to the rules and takes full responsibility for any exercise they partake in.
CountryFit Grounds
CountryFit is run on private land and clearly marked fencing for the space we are allowed to use. Please note there is electric fencing, and it is live!
Access:
No access is permitted to the field, except for your scheduled class time, and 10mins before.
Anyone found using the field/anywhere on the private grounds that hasn’t been granted permission by myself, Sinead AND had the permission of the land owner, Mr A Wilson, will be told to leave and may be subject to termination of their membership/class pass with immediate effect. No refund will be given for outstanding balance/class credits. They may also be subject to criminal prosecution & their details handed over to the police. The grounds are monitored by CCTV.
Dogs:
Our sessions are dog friendly with my own and the landowners dogs often attending the sessions. Whilst they are friendly affectionate dogs, they are animals and should be treated with respect, and can be nervous around new people. As they are animals they can sometimes be unpredictable in their nature, and for anyone afraid / nervous of dogs should let us know prior to attending any class/appointment at CountryFit. Whilst they are not aggressive dogs, if you antagonise them their instinct will be to attack, of which we, Sinead, the landowners & the dogs, will hold no responsibility should you get attacked by any of my/the land owners dogs.
If you wish to bring your own dog, it is your responsibility to look after him/her, clean up any mess and ensure they are under close control at all times. Should your dog show any signs of aggression/misbehaviour to any person or dog we have the right to terminate your class with immediate effect. No refund for the class will be given. The class instructor's decision on the dog's behaviour is final. Please note the field is not fully secure so it is your responsibility your dog is kept on the lead / close control to prevent him/her escaping/causing damage to him/herself or anyone else.
Risk Assessment:
All risk assessments are done by me, Sinead McGill, the owner of CountryFit, prior to every session. The land is undulating so uneven footing is to be expected and with dogs running free, we do our best to keep the area clean and tidy but it is also home to deer, fox and other wildlife - so faeces may be present. We strongly advise you to wash your hands/use hand sanitiser thoroughly after class & especially before eating.
Clothing / your equipment:
Essential:
Closed toe, supportive trainers/shoes. No falling apart, broken shoes, sandals/shoes showing flesh or going barefoot.
Clothes to cover your top & bottom half (at class instructors discretion as to what they deem suitable, but t-shirt/vest/polo/ any long sleeve and shorts of a decent length, leggings, tracksuit or other suitable breathable bottoms).
Water bottle
Inhalers / epi-pen/ any required medications if applicable.
Advised:
We recommend trail running trainers for the best grip in the outdoor terrain, particularly when wet.
Waterproofs
Change of clothes / socks
Old clothes that you don’t mind getting muddy or ruined.
Gloves during class and antibacterial gel once finishing the class.
It is up to the client to make their decision on appropriate clothing for the weather/conditions.
We advise at certain times of year you acquire insect repellents, lotions, or spray to avoid bites and stings. As well as sunscreen. This is advisory and we ask that you check before that you are not allergic to any product before use.
The rights of CountryFit:
The class instructor reserves the right to turn away individuals deemed not appropriately dressed and are not required to give a refund or class credit for the class.
Etiquette:
We operate a zero tolerance policy for any bullying, aggression, abusive or disruptive behaviour in any class, training, event, messaging or other association with CountryFit.
You must be mindful you are exercising with others and will keep all opinions and comments about someone else to yourself. Anyone disrespecting or abusing physically or mentally, to the staff, members, land owner or associates, including the animals, will be asked to leave with immediate effect and no refund shall be given for membership, the class or outstanding credit.
This applies to any in class, at events, online through any membership group chats/discussions or any place/group chat associated with CountryFit.
Bullying and or abuse will NOT be tolerated and we reserve the right to release any evidence through messaging / in class to the Police.
UnModerated group messaging/chat/events:
Please be aware that any groups organised by anyone other than myself, Sinead are NOT associated with CountryFit and therefore CountryFit cannot be held responsible or liable for any damage, abuse or misbehaviour in these groups / events / training.
Office Hours:
I (Sinead) run this as a sole trader, and will always do my best to reply as quickly as possible to all questions / messages. Please be patient with me and phone if it is more urgent.
Discounts/Free Trials:
From time-to-time CountryFit may have offers, discount & free trials to everyone or select groups (e.g. NHS, Armed Forces, Run clubs etc)
CountryFit reserves the right to amend or cancel offers/discounts and free trials at any time.
Redeeming:
All discount codes will be valid for a set period of time and redeemable online.
Any members who have been already redeemed their code will not be eligible for another, even if they were unable to redeem, unless authorised by myself, Sinead.
Events/Socials:
From time to time we may run members BBQ's / make little post workout goodies & treats for you. We are not chefs and do not have any food hygiene / safety qualifications. Whilst we will do our utmost to ensure food hygiene and safety, we cannot guarantee there will be no risk.
We ask that anyone with severe allergies makes us aware and does not eat/drink anything due to the fact we cannot risk cross contamination. We will not be offended if you reject our offerings and hold the events/offer food/drinks purely to add to the community atmosphere and will not be held responsible for any accident/injury/illness or otherwise that may arise from any event/offering, whether through negligence or not.
Equipment:
Care:
We at CountryFit do our upmost to ensure the equipment is safe to use, however as it doesn’t fall under the regular gym equipment there are some things to be aware of:
The grip may not always be easy and can be slippery when wet, so exercise caution when lifting, especially any over head movement or near to other members
The equipment may have characteristics such as loose stone which may get into your eyes, splinters from the logs, worn out tyres and other factors from using outdoor objects/equipment, so please do check the equipment before use, always exercise caution and ensure that you understand fully before starting any exercise.
It is up to you to ask if you are unsure / think any piece of equipment may be unsafe to use
